Great Sunrise Bay Gathering, But Not Enough Votes to Hold Annual Meeting‏

Dear Sunrise Bay Property Owner:
 
We had a wonderful gathering of approximately 60 owners and family for the Owners’ Annual Picnic and Meeting on Saturday, Aug. 3 in Sunrise Bay.  However, we received only 68 votes, 3 votes shy of reaching a quorum which requires votes from 71 out of the 118 lots in the subdivision. Consequently, the POA Board of Directors and all attendees were unable to convene the Annual Owners’ Meeting.  Therefore, the Board has scheduled a 2nd attempt to officially hold the Annual Meeting for the Estates at Sunrise Bay Annual Property Owners Association. It is a conference call to be held on Saturday, Aug. 17.  The agenda with call-in number is attached. If you provided a proxy for the Aug. 3 gathering, it is still valid for the Aug. 17th call: please DO NOT vote again.  When the initial meeting attempt does not achieve the 60% required to make quorum, a second attempt requires only 30% of total 118 to achieve quorum. If you did not vote the first time, please vote using the attached proxy.     
 
We cannot thank enough those who provided proxies and especially those who attended Saturday.  It was a beautiful day filled with great people and lively conversation!
 
Thank you to the Board of Directors for providing the meat, ice, water, cups, plates, eating utensils and napkins.  The owners brought a delicious variety of side dishes and desserts!   Nobody went away hungry!
 
Thanks to everyone who pitched in to help set-up and then move all the tables and chairs into the less windy garage.  Also thanks for helping to clean up the trash and left-overs, and then put up all the tables and chairs.   
 
It was wonderful seeing everyone, and it certainly felt like a community gathering. We will have to do these types of events more often.    
 
During the Board of Directors Meeting which preceded the Owners’ Picnic, Ethan Rafei was appointed to finish out the current term of director Ray Nunez until the election for the new board members becomes official at the 2nd Attempt for the Annual Meeting. Both Murraye Gordon and Aled Roberts agreed to remain in their current board positions until voting their re-election is officially validated at the official Annual Meeting via the call on Aug. 17.   
 
So thanks again to everyone who provided their votes and especially to those who physically attended the gathering.   We encourage everyone to join the conference call on Saturday, Aug. 17 for the official Annual Owners’ Meeting.  See the attached agenda for the call-in number.
